General Info Tab for Vendors (field definitions)

1. Vendor type: is created in the View/Edit Codes under System Maintenance.  Because you can sort by vendor type you do not want to have overlapping options like "school" and "university" or "restaurant" and "dining establishment."

2. Business Name & Business Sort:  Business sort defaults to the name of the business.  For the rare case where the business name and the name you wish to store are not the same, you change Business sort to handle the difference.  (Business name: JS Travel Consulting, Business sort: Smith, John Travel Consulting)

3. Books Travelers on Tours indicates that this vendor may generate reservations.  If you check this box, an Invoice can be addressed to this vendor for a specific traveler.  (Use this for travel agency invoicing.  For invoicing instructions for in the case of non-profits who sponsor a tour, please see "Invoicing a Sponsoring Organization for a Tour")

4. Consultant:  if checked, ViaTour knows that the Vendor name and Contact name are the same, and to drop the vendor name and display only the contact.  For example if you enter your consultant, Doe, John as a business name and the same name as consultant if you leave Consultant unchecked ViaTour displays on forms and in reports "Vendor Name--Contact Name" or "Doe, John - Doe, John".  If consultant is checked, ViaTour displays on forms only contact name: "Doe, John."

Note: Your organization should decide to standardize how sole-proprietors and consultants are entered (i.e. Last Name, First Name or First Name, Last name) so all users can find the appropriate record and avoid the duplication of entries. 

5. Acct Number allows you to store an identification number for a vendor for tracking in another system. 

6. Phone Numbers allows you to store multiple phone types.  ViaTour will include in reports and display on forms one telephone number if it is Primary R, and one fax if you enter it with phone type: Office Fax. 

7. Print Address Label button: you can print a label on demand to a Dymo or PT Brother label printer. This option is available with system install or later if you have technical support through annual maintenance.
