Deleting an Address for Duplicate Mailings

Say a member of a household calls you to say they are getting duplicate mailings. You do some research in ViaTour and see that two people have the same address, but they are not appearing as if they linked (no names appear under the "others at this address.")

What has happened? Two address records exist in ViaTour. 

To fix it we need to delete one "address" and merge both travelers on to the other address (so they are sharing it.)

The steps are:

1. Decide which address to keep (link between household members) and which to delete.
2. Go to the Traveler's record who has the address you wish to delete and click on the Address tab.
3. Before deleting the "bad address" you need to "link" a new address.
4. In the list of all ViaTour Addresses, begin typing address line one of the "keeper" address.
5. When you locate it select it so that the other traveler's name displays in "others at this address."
6. Now click on the envelop icon to "Format" the Address.
7. Assign the address to the traveler's Primary address (if applicable).
8. If the Traveler has any reservation with the "to be deleted" address assigned, you will need to access each reservation and assign the "keeper" address. Note: ViaTour has built in functionality preventing users from deleting an address assigned on a reservation.
9. Once you have assigned the keeper address to his reservations, you can delete the bad address. Click on the record selector and click on your delete key.
10. You will now need to click the Format the Address and Cascade the new "formatted address" to past and or future reservations using this address.
