Mail Merge Overview

If you have used mail merge in MS Word, you know that it combines the accuracy of database driven data and the many design features of MS Word.  

ViaTour currently lets you add "custom letters" but with limitations:
  • You can not pull in data other than Format Address, Salutation, Stock Phrases and Letter From.
  • You can not add bolds, italics, bullets, etcetera in the body.
  • You can not designate different paper trays for letters longer than one page, easily, as the Access Print Dialog box is somewhat limited.

    We have added Mail Merge to the reports Form for all clients, and the Reservation reports tab for Pro users.


    At present we have only a limited set of fields accessible for mail merge (called Bookmarks in MS Word), but over time we can imagine adding many more data sets to the Mail Merge Library!


    MAIL MERGE WORKFLOW

    I.       Set Up Mail Merge Codes in System Maintenance. (One time-2 minutes)
    II. Create Mail Merge Letter template with Bookmarks in a Word Doc.
    III.  Add and Maintain Letters in ViaTour Reports Form.
    IV. Output Mail Merge Reports, Select Output Options and View Output in Word Docs.
